Organisers/Volume Editor Guidelines


Conference Proceedings Publishing Process


The following steps outline the European Proceedings (EPr) Conference Series publishing process.


 

Conference proceedings proposal submission


In order to submit a proposal, you simply need to fill out a form with the necessary details and submit it to admissions@europeanproceedings.com

You can access the Conference Proceedings Proposal Form here.

Upon receipt of the form, the EpFE Series Editors editors will evaluate the details of your conference based on suitability of scope and quality criteria as set out in the EPr. You will be informed of the decision via the email address provided in the form once the evaluation process is complete within a week to ten days from the date the form was submitted.


 

Publishing agreement


After your conference proceedings have been accepted for publication, our team will offer you a publishing agreement. Once the agreement has been signed, you will be provided with a publication pack including manuscript template, copyright and conflict of interest form, volume editor guide, manuscript preparation guide, etc. It is the responsibility of the conference organiser to get thoroughly acquainted with the volume editor guide as it provides a detailed breakdown of the tasks to ensure the smooth running of the publication process.

Announcing the publication agreement 


Once the agreement has been signed, the conference and publication agreement with EPr may be announced in your event’s website and social media accounts.

 

Guiding authors with their manuscript preparation


It is the organisers/volume editors responsibility to guide the authors and ensure that the submitted manuscripts have been formatted and prepared according to the manuscript preparation guide. The organisers/volume editors must inform authors of the EPr’s
 open access and copyright licence.


Manuscript template and copyright & conflict of interest disclaimer form are accessible through EpFE' Author Guidelines webpage. The author/corresponding author must submit the copyright form & conflict of interest disclaimer together with the manuscript to the volume editor. Authors must be informed that the manuscript will not be processed if these documents (copyright form & conflict of interest disclaimer) are not submitted.

Before submitting the manuscript, it is strongly recommended that authors refer to the manuscript preparation guide and submission checklist to ensure that the manuscript has been formatted and prepared according to the guidelines. This will facilitate the peer review process considerably while preventing the need for the manuscript to be returned to the author/s to correct the formatting.

The peer review of each Proceedings is the responsibility of the conference’s editors/organisers. The volume editors/organisers are free to use any conference paper management system to facilitate the peer review process of submitted manuscripts. The quality and timeliness of the peer review process will be entirely under the purview of the volume editors/organisers. European Proceedings is not responsible for any delay in or non-compliance of the review process. However, volume editors/organisers should follow international peer review standards by adhering to the European Proceedings' peer review policy available here.

 

Preparing ancillary content


It is the responsibility of the volume editor to prepare the ancillary content such as the preface and the Proceedings main page. Please see the volume editor guide for details.

 

Sending the files


Please read the appropriate section in the volume editor guide carefully and follow the steps when submitting all the requested files.

 

Production and publication


Technical check process


Our internal production editors will check the submitted content and guide you throughout the process in order to ensure that the basic publishing standards are met. It is important to cooperate with our internal editors to facilitate a smooth and timely publication.

Production process


In this step, our production team will ensure that each manuscript has been correctly formatted (i.e., typesetting, layout formatting) abiding by the series’ standards.

Quality check process


Our production team will upload the manuscripts into our production system and once the quality check process is completed, no further corrections will be accepted.

Prior to publication of a Proceedings, the volume editor/organizer will receive a notification email and be provided a link to make a final quality check of the Proceedings before publication.

This final check allows the organisers/volume editors to ensure that the Proceedings are free of any mistakes such as typesetting errors, incorrect numbering or placement of tables, figures and so on. Proofs must be reverted within 48 hours of receipt of the email. Failure to return the proofs within the stipulated time frame may result in a delay in publication, for which European Proceedings will not be held responsible.

 

Publication


Once a Proceedings is published online, all articles will be available in PDF, XML, and HTML formats. No changes are allowed after this stage. Upon publication, each proceedings issue is allocated an ISBN number, whilst all articles still retain the ability to be individually cited by assigning a DOI number.

After publication



Access and sharing


Upon publication, the corresponding authors will be informed of the publication and provided with a link to the proceedings. EPr encourages all authors to promote and disseminate their research through all available channels.

Indexing


The databases that abstract and index these papers include CrossRef, EBSCOhost Electronic Journals Service (EJS), EBSCO A-to-Z Knowledgebase, Google Scholar, and Web of Science Core Collection™ Conference Proceedings Citation Index - Social Sciences & Humanities (CPCI-SSH).

Once published, each Proceedings is submitted for evaluation and possible coverage in the Web of Science Core Collection™ Conference Proceedings Citation Index - Social Sciences & Humanities (CPCI-SSH).

Due to the high volume of submissions, Clarivate prioritizes evaluation of those volumes of highest interest to the global Web of Science user community. Those volumes that are evaluated and pass all Clarivate selection criteria will be selected for WoS-CPCI coverage.

Please take note that as Clarivate has its own policies as to the duration for acceptance, processing, and indexing new content, European Proceedings cannot guarantee acceptance or a specific time frame for the indexing process to be completed. 


Archiving


European Proceedings aims to ensure the long-term availability of digital content on behalf of end-users. The CLOCKSS archive preserves its members' publications for future generations of researchers. Our participation in CLOCKSS allows our published content to remain intact, securely stored, and freely available in perpetuity.
